Hound Pet Salon – Terms and Conditions
These Terms and Conditions are in place to safeguard the wellbeing of all dogs in our care, maintain a calm and controlled salon environment, and ensure clarity for both guardians and the team at Hound Pet Salon. By booking an appointment, you agree to the following terms.

1. Appointment Policy and Deposits
Deposit Requirement
A non-refundable deposit of 50% of the grooming fee is required to secure all appointments. This deposit represents a reservation of time in our diary and is not a payment for services. Deposits are strictly non-refundable and cannot be returned under any circumstances.
Cancellations and Rescheduling
With more than 48 hours' notice, your deposit may be transferred to a future appointment once. Cancellations or rescheduling requests made with less than 48 hours' notice will result in the deposit being forfeited. Each appointment may only be rescheduled once. Any further changes will be treated as a cancellation, and a new deposit will be required.
Late Arrivals and Missed Appointments
Clients are expected to arrive promptly at their scheduled appointment time. Late arrivals of 10 minutes or more may result in the appointment being cancelled at our discretion. In such cases, or in the event of a missed appointment, the full service fee (100%) will be payable. If you are running late, please contact us as soon as possible. We will advise whether we are able to accommodate the appointment. Please do not arrive early, as we operate a staggered schedule to maintain a calm environment for all dogs.
2. Collection of Dogs
Guardians will be notified when their dog is ready for collection. Dogs must be collected promptly and no later than 15 minutes of this notification. A supervision fee of £5 per 15 minutes may be charged for late collections. If a dog is not collected by the end of the business day and we are unable to reach either the guardian or emergency contact, we reserve the right to contact the local dog warden or relevant authorities to ensure the dog's welfare.
3. Health and Safety
Vaccinations
All dogs attending Hound Pet Salon must be up to date with their vaccinations.
Parasite Control
Clients must not bring dogs into the salon within two weeks of flea or parasite treatment, to allow the skin time to recover. If fleas or other parasites are found during a grooming session, the appointment will be terminated immediately, the full grooming fee will be charged, and a decontamination fee may also be applied.
Illness
If your dog has displayed symptoms of illness (including diarrhoea, vomiting, or kennel cough) within two weeks of the appointment, the appointment must be rescheduled.
4. Grooming Procedures
Assessment and Adjustments
All grooming is carried out with your dog's welfare as the priority. We will always aim to follow your preferences; however, adjustments may be made based on coat condition, behaviour, and the dog's comfort.
Knots and Matted Coats
Knots and matted coats will be clipped where necessary to prevent pain or injury. By booking an appointment, you consent to the removal of matted coat where required. This may result in a significantly shorter finish than expected. Additional charges may apply depending on the time and work involved.
Behavioural
If a dog displays aggressive or highly distressed behaviour that prevents us from completing the groom safely, the session may be terminated. The full grooming fee will still apply. We will not carry out any procedure that compromises a dog's welfare.
Right to Refuse Service
We reserve the right to refuse or stop any service at any time if it is deemed unsafe or not in the best interests of the dog or our team.
5. Accidents and Emergencies
While every reasonable care is taken, grooming carries inherent risks. Incidents such as cuts, scratches, or clipper irritation can occur, particularly with matted coats, sensitive skin, or behavioural challenges.
Emergency Care
In the event of an emergency, we will attempt to contact you and your nominated veterinary practice. If contact cannot be made, you authorise Hound Pet Salon to seek veterinary care as necessary. Any veterinary or transport costs incurred will be the responsibility of the guardian.
Third-Party Liability
If your dog causes injury to another dog, person, or property, you accept responsibility for any resulting costs or claims.
6. Photography and Marketing
Photographs and videos of dogs may be taken during their visit and may be used for marketing purposes, including digital media, social media, printed and website content. If you do not wish for your dog to be photographed, please notify us prior to your appointment.
7. Fees and Payment
Pricing
All prices are based on size, coat condition, grooming frequency, behaviour, and time required. Any prices provided in advance are estimates only. Final pricing is confirmed following assessment at the appointment.
Payment Terms
Full payment is due upon completion of the groom. We accept card payment or cash.
Refund Policy
Refunds will not be issued once a service has been completed unless there is clear fault on the part of Hound Pet Salon. Any concerns must be raised before leaving the premises.
8. Client Responsibilities
Accurate Information
You must provide accurate and up-to-date information regarding your dog's health, behaviour, and any special requirements.
Disclosure of Health or Behavioural Issues
We must be informed in advance of any health issues, allergies, behavioural traits, or special requirements to ensure the safety and wellbeing of both the dog and our staff.
9. Data Protection
Hound Pet Salon is committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR). The information you provide — including your name, contact details, and your dog's health, behaviour, and grooming history — is collected solely for the purpose of providing grooming services, managing appointments, maintaining accurate records, and communicating with you. We store this information securely using reputable grooming salon software that is GDPR-compliant and designed for professional use. This software ensures your data is encrypted, access-controlled, and protected from unauthorised access. We do not share your personal information with third parties unless legally required to do so or with your explicit consent. 10. Agreement to Terms
By booking an appointment, you confirm that you have read, understood, and agree to these Terms and Conditions. These terms apply to all current and future appointments unless otherwise updated by Hound Pet Salon.
