What data we collect

We may collect and process the following types of personal data:

When you contact us

If you use our contact form, we collect your name, email address, phone number (if provided), the subject of your enquiry, and your message.

When you request a consultation or booking

If you submit a consultation or booking request, we collect information about you and your dog, including:

  • Your name, phone number, and email address (if provided)
  • Your preferred appointment date and time
  • Your dog's name, breed, and age or date of birth
  • Optional details you choose to share — such as coat type, grooming history, temperament, behaviour notes, or medical information
  • Additional registration details you may provide later — such as your home address, vet practice, vet phone number, neutering status, and how you heard about us
  • Marketing preferences — if you opt in to receive occasional updates by SMS or email

When you browse our website

Our website uses cookies and similar technologies to understand how visitors use the site. This may include anonymised or pseudonymised usage data such as pages viewed, approximate location (country or region), device type, browser, and referral source. See Cookies and analytics below.

What we do not collect

We do not knowingly collect special category data (such as detailed health records) unless you choose to include it in a free-text field when telling us about your dog. We do not sell your personal data.

Legal bases for processing

Under UK GDPR, we must have a lawful basis to use your personal data. Depending on the situation, we rely on:

  • Contract — where processing is necessary to take steps at your request before entering into a grooming appointment or to manage an existing booking.
  • Legitimate interests — to respond to enquiries, operate and improve our website, understand how visitors use the site, and run our salon efficiently. We balance these interests against your rights and only use data in ways you would reasonably expect.
  • Consent — where you opt in to marketing communications by SMS or email, and for non-essential analytics cookies where required. You can withdraw consent at any time.
  • Legal obligation — where we need to keep records to comply with applicable law.

How we use your data

We use personal data to:

  • Respond to messages and enquiries
  • Process consultation and booking requests
  • Arrange and manage grooming appointments
  • Send appointment-related communications
  • Send occasional marketing updates by SMS or email, but only if you have opted in
  • Improve our website and understand how it is used
  • Keep our records accurate and meet legal or regulatory requirements

We will not use your data for automated decision-making or profiling that produces legal or similarly significant effects.

Sharing your data with third parties

We do not share your personal data with third parties for their own marketing. We use trusted service providers who process data on our behalf, only as needed to run the website and salon:

  • Supabase — securely stores contact messages and consultation or booking requests submitted through our website.
  • Resend — sends transactional emails (such as notifying us of a new enquiry or booking request) on our behalf.
  • Google Analytics — helps us understand website traffic and usage patterns. Measurement ID: G-0GWYS8CLTQ. Google may process data in the United States and other countries. See Google's privacy policy.
  • Microsoft Clarity — provides session analytics to help us improve how the website works. Clarity is designed with privacy in mind and uses GDPR-compliant practices. Project ID: tp21f30925. See Microsoft's privacy statement.

These providers act as data processors under our instructions. We require them to protect your data appropriately. Where data is transferred outside the UK, we ensure suitable safeguards are in place (such as standard contractual clauses or adequacy decisions).

We may also disclose data if required by law, court order, or to protect the rights, safety, or property of Hound, our clients, or others.

Cookies and analytics

Cookies are small text files placed on your device when you visit a website. Some are essential for the site to work; others help us understand how visitors use the site.

Analytics cookies we use

  • Google Analytics (G-0GWYS8CLTQ) — collects aggregated information about pages visited, session duration, and general usage. Google Analytics uses cookies such as _ga and _ga_* to distinguish users. Data is typically retained by Google for a limited period according to their settings.
  • Microsoft Clarity (tp21f30925) — records anonymised interaction data (such as clicks and scrolling) to help us see where the site can be improved. Clarity masks sensitive input fields by default and is operated as a GDPR-aware analytics service.

Managing cookies

You can control cookies through your browser settings — most browsers let you block or delete cookies. Blocking analytics cookies will not prevent you from using the site, but we will have less insight into how to improve it.

You can also opt out of Google Analytics across websites by installing the Google Analytics Opt-out Browser Add-on.

How long we keep your data

We keep personal data only for as long as necessary for the purposes described above:

  • Enquiries — typically up to two years after we last corresponded, unless a longer period is needed to resolve an issue.
  • Consultation and booking records — for the duration of our relationship with you and for a reasonable period afterwards (generally up to six years where needed for business records or legal purposes).
  • Marketing preferences — until you withdraw consent or ask us to delete your details.
  • Analytics data — retained according to Google Analytics and Microsoft Clarity settings, typically in aggregated form for a limited period.

When data is no longer needed, we securely delete or anonymise it.

Your rights

Under UK GDPR, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Rectification — ask us to correct inaccurate or incomplete data
  • Erasure — ask us to delete your data in certain circumstances
  • Restriction — ask us to limit how we use your data in certain circumstances
  • Objection — object to processing based on legitimate interests
  • Data portability — receive your data in a structured, commonly used format where applicable
  • Withdraw consent — where we rely on consent (such as marketing), you can withdraw it at any time without affecting prior lawful processing

To exercise any of these rights, please contact us at contact@houndpetsalon.com. We will respond within one month, as required by law.

If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK supervisory authority for data protection:

Security

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. No method of transmission over the internet is completely secure, but we work with reputable providers and review our practices regularly.

Changes to this policy

We may update this privacy policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to check back occasionally.
